Planning and organizing are not single acts of discipline; they are complex (high-level cognitive operations managed by the brain’s executive function network). They are wired primarily in the prefrontal cortex, this central command system of your brain that orchestrates working memory, impulse control, sequencing, and sustained attention to turn abstract goals into tangible results. Whether you are navigating ADHD, other neurodivergent processing styles, or simply the cognitive overload of modern life, sustainable focus does not come from sheer willpower. Instead, lasting productivity depends on designing structural cognitive scaffolding—external systems, habits, and environments that support the brain’s natural architecture.
When planning falls apart, it is rarely a matter of low intelligence or a flaw in character. Executive dysfunction is determined by complex neurobiology, driven by structural variations, neural circuit connectivity, and the delicate balance of neurotransmitters like dopamine and norepinephrine. Because these neurological pathways vary widely from person to person, there is no universal blueprint for staying organized. I often tell my clients you must become a detective and a scientist. The detective looks for clues: what works, what doesn’t work, what prevents you from acting? The scientist is open, curious and experiments: you read articles like this, you try new strategies and if they work, you adopt them and if they don’t you try another strategy, until you find what works for YOU!
Planning and Organizing Deficits in ADHD
In individuals with ADHD and other neurodiversity, planning and organizing struggles are common, magnified by “time blindness” (temporal processing dysfunction and interest-driven neural circuitry. The ADHD brain operates primarily within two distinct temporal states: “Now” and “Not Now.” Because the neural clock responsible for interval timing is altered, estimating how long any step will take is challenging. This time distortion causes individuals to chronically underestimate deadlines, pack impossible volumes of work into narrow windows (my son calls this time optimism), or freeze because the sequence appears as a massive, undifferentiated block of effort rather than an orderly timeline.
Furthermore, the ADHD nervous system regulates attention based on novelty, urgency, challenge, and interest rather than objective importance. Standard planning systems require evaluating abstract priorities. Without a crisis-driven adrenaline surge or immediate intrinsic curiosity, the ADHD brain’s prefrontal cortex remains chemically under-aroused. This manifests as priority equalization (every incoming task feels equally urgent, resulting in overwhelm when looking at your to-do-list), task paralysis, scattered execution, and physical or digital disorganization.
10 Strategies to Improve Planning and Organizing
As I mentioned earlier a personalized approach is needed, there is no one-size-fits-all solution. When you find what works for you it will not only improve planning and organizing but it will have a knock-on effect in enhancing performance, freeing up time for things you love and potentially improving relationships.
So here are some “ideas” for you to experiment with:
- Body Doubling: Work alongside a partner—either in person or virtually. The passive presence of another person acts as a social anchor that sustains alertness, decreases distractibility, and reduces task avoidance. There are some great apps for this or you can ask a friend to body double with you.
- Frictionless Task Initiation: Break high-friction starts by using the “5-minute rule”—committing to engage with a task for only 5 minutes (or it could be 10 or 20) to bypass limbic resistance. I often tell myself “You can do anything for 5 minutes”. Pair complex initiation tasks with body doubling for an extra boost.
- Centralized Brain Dumps: Working memory has severe capacity limits and gets wiped easily, so don’t over-rely on it. Write thoughts down on paper, capture incoming interruptions, and administrative tasks immediately into an external digital inbox or notepad rather than trying to store them mentally.
- Visual & Externalized Time Mapping: Your brain hates the abstract, so make time more tangible with visible cues using analog clocks, visual countdown timers, or time-blocking formats. Most people are bad at estimating the time needed for a task so implement a 1.5x time buffer to tasks to prevent over-scheduling.
- Micro-Chunking & External Working Memory: A large deliverable is overwhelming, so break it down into 3–5 explicit, immediate actions on visual boards or structured checklists to reduce working memory load. Keep thoughts externalized via digital capture tools or daily planners before they are lost.
- Rhythmic Focus Intervals: Your brain is not designed to focus on one task for several hours. So, use structured focus bursts—such as 25-minute Pomodoro sessions with 5-minute restorative breaks—to sustain attentional stamina without causing mental exhaustion.
- Distraction Boundaries: Minimize distractions by establishing designated work zones and clearing visual workspace clutter. When I was writing my book I had a chair that was just for writing. When I sat in it I turned off all distractions and set a timer for 90 minutes, i kept a notebook next to me so I could write down thoughts that popped up. This helped me write the first draft of a 70,000 word book in 8 weeks!
- Strategic Prioritization: Prevent “urgency equalization” (all tasks on your to-do-list look equally important) by running to-do lists through the Eisenhower Matrix to separate genuine value from immediate noise, locking in no more than 3 Most Important Tasks (MITs) per day.
- Sensory Gating: If you are easily distracted by sensory stimuli like noise or smells, try sensory gating. Use noise-canceling headphones, ambient instrumental soundscapes, essential oils, and digital website blockers to protect deep-work sessions distractions.
- Interest-Based Bridging: Did you love reward charts when you were a kid? If so, pair low-stimulation tasks with post-task rewards (like a favorite hot drink or an episode of a TV show). You can also get your dopamine high before you even start by listening to a favorite song and/or dancing for 3 minutes. I realized years ago that I avoided doing laundry as it was so boring it hurt. I made a deal to always entertain myself (an audiobook or show) when I do laundry, it works a treat!
